Refund Policy

1. Introduction

This Refund Policy ("Policy") outlines the terms and conditions for refunds related to Kitaabh's cloud accounting platform, website, mobile application, and related services (collectively, the "Services") provided by Kitaabh Technologies Pvt. Ltd. ("Kitaabh", "we", "our", or "us"). This Policy is incorporated by reference into our Terms of Service.

2. Subscription Plans and Billing

2.1 Subscription Types

Kitaabh offers various subscription plans, including:

  • Micro (Free)
  • Small
  • Medium 20K
  • Medium 40K
  • Medium Unlimited
  • Enterprise (Custom pricing)
  • Chartered Accountants Plan (Free)

Additionally, we offer transaction packs for plans with transaction limits and add-ons such as additional users and organisations.

2.2 Billing Cycles

We offer two billing options:

  • Monthly billing
  • Annual billing (with discounted rates)

All subscriptions are automatically renewed at the end of each billing period unless cancelled before the renewal date.

3. Free Trial

3.1 Trial Eligibility

New customers may be eligible for a 14-day free trial of paid plans. During the trial period, you can explore the full functionality of your selected plan without any payment obligation.

3.2 No Credit Card Required for Trial

We do not collect your credit card or payment information during the free trial period. At the end of your trial period, you will be prompted to select a subscription plan and provide payment details if you wish to continue using the Services.

3.3 End of Trial

When your free trial ends, you will need to choose a subscription plan and provide payment information to continue using the Services. If you do not subscribe at the end of your trial, your account will be downgraded to our free plan, with limited features and functionality.

4. Refund Eligibility

4.1 Subscription Fees

4.1.1 Within 7 Days of Initial Purchase

For new customers making their first subscription purchase, we offer a 7-day refund window from the date of initial payment, provided:

  • You have not extensively used the Services (defined as entering more than 50 transactions or creating more than 10 masters)
  • You contact our support team at support@kitaabh.com with your refund request within this timeframe
  • You provide a valid reason for the refund request

4.1.2 After 7 Days of Initial Purchase

After the 7-day window following initial purchase, subscription fees are generally non-refundable. When you cancel a subscription:

  • You will continue to have access to the Services until the end of your current billing period
  • No partial refunds will be issued for unused portions of the billing period
  • Your subscription will not automatically renew for the next billing period

4.2 Transaction Packs

Transaction packs are non-refundable once purchased, as they represent pre-purchased capacity for your account. Transaction packs remain valid for one year from the purchase date, regardless of subscription changes.

4.3 Add-ons (Additional Users and Organisations)

Fees for additional users and organisations are non-refundable once the billing period has commenced. When removing add-ons:

  • You will continue to have access to the add-ons until the end of your current billing period
  • No partial refunds will be issued for unused portions of the billing period
  • The add-ons will not be renewed in the next billing period

5. Exceptions for Refund Eligibility

5.1 Service Unavailability

If our Services experience significant downtime that materially affects your business operations (exceeding our Service Level Agreement commitments), you may be eligible for a pro-rated refund or credit for the affected period. To qualify:

  • The service disruption must exceed 8 consecutive hours
  • You must submit a refund request within 5 business days of the disruption
  • The disruption must be verified by our technical team

5.2 Material Changes to Services

If we make significant changes to the core functionality of our Services that materially reduce the value of your subscription, you may be eligible for a pro-rated refund for the remainder of your billing period. We will notify you of such changes in advance.

5.3 Billing Errors

If you believe you have been incorrectly charged or there is an error in your billing, please contact our support team within 30 days of the charge. We will investigate and issue a refund if we confirm an error has occurred.

5.4 Compliance with Indian Consumer Protection Laws

Notwithstanding anything to the contrary in this Policy, we will provide refunds as required by applicable Indian consumer protection laws, including the Consumer Protection Act, 2019.

6. Refund Process

6.1 How to Request a Refund

To request a refund, please:

  2. Include your account information (registered email and company name)
  3. Provide the reason for your refund request
  4. Include any relevant documentation or information supporting your request

6.2 Processing Time

We will review your refund request and respond within 5 business days. If approved, refunds will be processed within 10 business days of approval.

6.3 Refund Method

Refunds will be issued to the original payment method used for the purchase. Processing times for the refund to appear in your account depend on your financial institution and typically take 5-10 business days.

7. Cancellation Policy

7.1 How to Cancel

You may cancel your subscription at any time through:

  • Your account settings page on the Kitaabh platform
  • Contacting our support team at support@kitaabh.com

7.2 Effects of Cancellation

Upon cancellation:

  • You will continue to have access to the Services until the end of your current billing period
  • Your subscription will not automatically renew for the next billing period
  • You may export your data during this period in accordance with our data export capabilities
  • After the billing period ends, your account will be downgraded or deactivated according to our Terms of Service

7.3 Annual Subscription Cancellations

For annual subscriptions, early cancellation does not entitle you to a refund of the unused portion of your subscription. Your service will continue until the end of the paid period.

8. Special Considerations

8.1 Chartered Accountants Plan

The free CA plan provided to verified Chartered Accountants is not subject to refund policies as it is provided at no cost.

8.2 Enterprise Plans

Custom Enterprise plans may have specific refund terms outlined in their individual service agreements, which take precedence over this general policy.

8.3 Early Access Offers and Price Lock Guarantees

Early access offers, including price lock guarantees (such as locking in launch pricing for 3 years with annual billing), are contractual commitments that remain in effect as long as the subscription remains active without interruption. Cancellation and resubscription will result in the loss of such promotional offers.

9. GST and Tax Implications

9.1 GST on Refunds

For refunded amounts, any GST previously charged will be adjusted accordingly. You will receive a credit note for the refunded amount, including applicable GST.

9.2 Documentation for Tax Purposes

Upon processing a refund, we will provide appropriate documentation for your tax and accounting records, including a formal credit note.

10. Changes to This Policy

We may update this Refund Policy from time to time to reflect changes in our practices or for operational, legal, or regulatory reasons. We will notify you of any material changes by posting the updated Policy on our website or through other communications. Your continued use of our Services after such modifications will constitute your acknowledgment of the modified Policy.
